get to your point, you're looking for business, so say if they need cleaning services, they can consider you and tell them why you're better than the rest w/o sounding arrogant.

I was just searching for the same thing this week. I read that you should do a write up about why your business is unique. Use an attention graber, then some real facts about your co, then make the client do an action, and then sale your service so they think they need it.

Denise:

I'd say the number one thing you want to accomplish in an introductory letter to a prospective client is to effectively focus on how you can solve their problem and do it faster, more thoroughly, or more professionally than the competition.

The second priority in a sales letter is to dispel skepticism. If the would-be client doesn't "know you from Adam", then just saying you'll do a good job won't convince them. However, if you include a few testimonials of satisfied customers, or even a letter or two of recommendation, that could help win them over.

Build a strong case for choosing your company: The letter should be organized in such a way that emphasizes your competitive advantages, the benefits you provide, the features you offer, your high degree of professionalism, your professional affiliations and credentials, guarantees of satisfaction, years of experience, and other selling points.

My belief is that you want to simply accomplish a few things - who your are, what you do and what value you can bring to the table. Other folks prefer to go into greater detail, but I tend to save that for my follow up call. All I really want is some name recognition for the follow up call.

Here's a letter I've used with pretty good results. My profession is graphic/web design and marketing consulting, but feel free to adapt it to your needs. Also, my writing style tends to be conversational. It reflects my personality and I've found it works better than writing in a "drier" tone.

Dear [name]:
What’s important to you? Odds are, is not a slick new typeface or flashy presentation. That cool paper the mill is pushing probably isn’t at the top of your list either. Neither is a lot of design and marketing jargon that says little and tends to just cloud the real issues.

I’ll bet it’s a successful project, one that exceeds its goals and makes you look good, that’s really important. I’ll bet you’re much more interested in smooth workflow, easy access to your team and a marketing communications project that’s completed on-time and, preferably under your budget.

Tortorella Design is small group that’s nimble and effective. Our group has worked with both Fortune 500 and mid-size companies to develop pragmatic solutions to their communication challenges. We’d like to work with [company name] as well.

I would like the opportunity to talk with you about your goals for the remainder of [year]. Perhaps there’s a good fit. I will call later this week to arrange a brief (15-20 minute) meeting at your convenience.

That sample letter, although the author says it resulted in some positive ways, is one I can consider a HARD SELL.

Remember, when writing something important like this, you should not sound like you are begging for sales, nor selling your company too much. This will reflect the integrity and attitude of your company.

"As simple as possible". Although having a catchy and unique approach isn't bad, but you might want to refrain from sounding like a TV Info-mercial or those like the ones in home TV shopping, just like in the sample letter above. Stay away with too much use of a slogan or a company motto or quote.

Just present your company the simple way -- what your company does and what you are offering them.

Hello Denise,

The main thing is to make the letter about them, not you. What will hiring you do for **them**?

First off, sit down and make a list of what people *really* want from a construction cleaning service. What's most important to them? That you are:
-on time?
- able to work quietly around employees who are working late?
- willing to make a written agreement with them as to what constitutes "clean"?
- or???

One way to find out what your target market really wants is to talk to prospective or existing clients. Talk to people using another cleaning service - what drives them up the wall about the service they're getting? When you have a clear idea what will "hook" customer interest, then write your letter.

The secret here is: fire your biggest gun *first*. In the first sentence, clearly state the biggest advantage to them of hiring you. Many companies that try to write a service pitch letter make the mistake of starting "small", thinking that if they build up to their biggest selling point, it will clinch the sale. Sorry, but if the first point doesn't hook readers, they will not read far enough to find the strongest point. So lead with your biggest gun. Then let fly with your next strongest point, and so on in reverse order of importance - except that you save one good strong point to finish with, to leave a good last impression.

It's very important that the whole letter be about *them*. This has to do with the language you use. For example: instead of saying "we do a great job", you can say something like, "When you hire us, YOU decide what 'clean' means. Before we lift a mop, we'll do a walk-through of the area together, and you will tell us what standards we need to meet. Then we'll put those standards in writing, so you'll know that you'll always be getting a great job." See how the focus is on them, not you?

If you have a clear idea of people's needs, and communicate how they can get those needs met (by you, of course!), then you should have success. Best of luck with it!

I agree with the posters who advised to speak mostly about the potential client. You should use the words "you" and "your business" or "clients name/business name" many more times than you use "I" "My" "Us" or "Our." People need that explicit connection between what you are selling and their needs. It's up to you to make it. Help them imagine what using your product/service will be like. This almost goes against what I've just said, but I also find it useful to introduce not just the business but myself as well. This personalizes you... It's harder to ignore an individual than a faceless business.

WIFFM--What's In It For Me. That's what your prospect wants to know. Don't talk about you and why you are so great, talk about them and what you will do for them. Don't say you will save them money, say you will increase thier profit. Businesses are profit driven, not into saving money.

I know it's easier said then done, but look at what your competitors are saying. Use ideas from the successful ones and avoid the floundering ones. Call as a prospective client and listen to thier speil. Request a brochure. Let them try to sell you and then use this as a lesson on how you should or should not do it yourself!!

A few questions...

Who's the target group that would receive the letter and what specific action would you want them to take?

Also: What advantages does your company offer to customers that your competition does not? What's your 'USP' (Unique Selling Proposition).

The answers to those questions will help you write a more effective marketing letter.

I would like to get an introduction letter for my company, we, an advertising firm. doing all kind of jobs like printing brochures, banners, company letter heads, visiting cards etc. and also doing vehicle graphics, signboards manufacturing etc.
