Getting Organized in Spite of Yourself --
Even with Your Email

Emails, emails everywhere, and not a thought to think. Or something like that. Entrepreneurs seem particularly vulnerable to the dangers of too much of a good thing. We ask for it, we get it, and then we don't know what to do with it.

If your electronic correspondence looks like your laundry basket full of dirty clothes, it's time to do some sorting and organizing.

Most electronic mail programs have a feature that allows you to set up folders or mailboxes for prioritizing incoming e-mail. In Eudora, one of the most popular email programs, setting up mailboxes and sorting your e-mail by category is easier than matching your socks.

Go to the Mailbox feature (which can be a separate heading or listed under Window) and click. From there you can create new mailboxes, and then subcategories. For instance, you may decide to categorize your emails by project. Click on New, then enter "Dry Cleaning." Make sure you check the box that says "Make it a folder." Then click on New, Dry Cleaning, and repeat the process with "Suits" -- a subfolder is born. (In Eudora Light, you can skip a step by creating your subfolders all at once. Each time, the program will automatically offer you the option to create a new sub right away until you've maxed out).

Once you've named your mailboxes, transferring files is a cinch. You may want to re-sort your emails, depending on how your mind works. Like folding laundry, sorting is completely subjective. Some folks sort by priority, others by date or sender -- how you do it is completely up to you.

Next step: putting it away. Highlight emails that you want to transfer, and then click on the Transfer feature. Your new mailboxes will be neatly displayed. Choose your correct destination, click. In Eudora Pro, you can "drag" your mail to a mailbox -- listed on the left hand side of your screen. Whoosh! The deed is done. Laundry should only be so easy.

Setting up your filing system is the hardest part of this process. What categories correspond with your other filing systems? Pick what will be easiest to remember. (Try not to complicate the process, or you'll spend more time finding your emails than before you got organized). Doesn't it feel good when the laundry is all folded and put away?
