How to Find the Perfect Business Meeting Space

Are you planning a business meeting and need more space than your current office provides? Perhaps you’re just looking to hold the meeting off-site to add a touch of professionalism. Regardless of the reason, London has all kinds of fabulous options for meeting spaces, whether it's for a small meeting with just a couple of people or a much larger meeting.

So, as you start on the journey of finding that perfect meeting space for your next business gathering, here are some tips you can use to make the process smooth and simple.

What Are Your Space Requirements?

The first thing you’ll want to start thinking about is how much space you will need. How many people will be attending this meeting? What kind of seating configuration are you looking for? Should everyone be at the same table or do you need some break-out tables for brainstorming sessions?

Besides the attendees, you will also want to think about how much space you need for audio/visual equipment, any products or tools you are bringing along for demonstration purposes, and the ability for people to move around the room and not feel confined.

Location of the Meeting Space

It can be pretty expensive and difficult to book a meeting space in downtown London. While there are plenty of options, it doesn’t mean the size and features you are looking for will be available. For this reason, you may want to consider looking in outlying areas. Be sure to also consider how convenient it is for attendees to reach the meeting location. This may determine who can and can't make it.

A big part of finding that perfect meeting place will come down to the facilities it offers. As well, things such as photocopying, WiFi access, laptop connections, individual climate control of the meeting space, charging stations, phones capable of conference calls, etc., should all be considered.

The facilities don't end there, however. Ask about parking on-site, as you want to make sure there are plenty of conveniently located spots for attendees. Catering services may also be of importance (food and beverage services – whether that be snacks and/or meals), and even nearby accommodation for out of town attendees.

By taking into consideration each of these factors you will be able to find a meeting space that meets all your needs and requirements. What this means is that you’re setting yourself up for a successful and productive meeting, wherever you decide to rent a meeting room.
