5 Smart Ways To Manage Personal Internet Use in the Workplace
The internet has revolutionised the world of work, from email to video conferencing, file sharing etc it has never been so easy to get things done and has made the business world so much smaller as it's infinitely easier to trade all over the globe. But as with all good things there is always a down-side somewhere and the internet has a wide variety of distractions as well as business tools so it's important to be able to monitor and control personal internet use in the workplace.
Ensure There Is A Clear Internet Usage Policy It's essential that your workplace has a clear statement of policy so that all employees are aware of what acceptable use of the internet is in your particular area. Of course there is never a one size fits all rule that can be applied to every workplace or even every worker at the same organisation. For example, if you are a magazine writing about sports then it's perfectly acceptable for a journalist to be researching sports stats but not for the admin assistants to be doing the same thing.
Have Filters & Blocks If Necessary If you are not having enough success with simply having a fair use of the internet at work policy then you could consider putting in filters and blocks on your network to prevent certain sites or types of sites being accessed. There are a variety of procedures and software to be able to achieve this, if you have an IT administrator then they should know how to achieve this.
Allow Some Flexibility As A Perk Allowing some personal use of the internet rather than trying to control or restrict employees uses of the internet. What you might find is that with the extra trust and giving of this perk then they will be more responsible with their usage as a result. One thing to be aware of is that if you have a large amount of workers the extra use of the internet with video streaming etc might increase the need for bandwidth and you might want to consider using Simply Switch's broadband comparison service if you need to find a better connection.
Make Sure Management Have Access To All Emails It's important for management to have access to monitor all employees email use so that they can be sure it's not being abused. This is important in two ways as you won't want to have lost time due to personal correspondence but also any emails sent from your businesses account reflect your outlook and reputation.
Give A Clear Distinction Between Personal & Work Phones If you have work phones issued to your employees then as with the email system you will want to make sure that they are aware that the work line is for business use only. Not only does this discourage distraction at work it will ensure that the phone bills are not getting out of hand for this work expense.
